How are the smart lock codes delivered to guests and when?

Smart lock codes are:

  • Automatically generated when a new reservation is created

  • Set up to 14 days before check-in

  • Displayed in the guest’s digital guidebook

  • Pushed back to your PMS, so you can include them in automated messages

Just a heads up: codes may change if the lock setup is updated or re-synced.

Can I customize when access codes activate or expire (e.g., allow early check-in or late checkout)?

By default, access codes are only active during the reservation dates and times.

If you offer early check-in or late checkout, the codes can be updated to reflect those changes—so your guests still get seamless access when plans shift.

What happens if a guest checks in late or arrives early – will the code still work?

Late check-ins are totally fine—the code will still work.

However, if a guest shows up before the scheduled check-in time, the code won’t be active yet unless you’ve arranged for early access.

Can I set permanent or recurring codes for cleaners, maintenance, or the host?

Not yet through Welcora.

If you need permanent or recurring codes for cleaners, maintenance, or yourself, you’ll need to set those up directly in your smart lock’s app for now.

Is there a log or audit trail of who used the code and when?

Yes, there is an audit trail that tracks:

  • When new codes are generated

  • Any changes to reservation dates or guest info

  • Code updates tied to a specific reservation (each code is unique)

Guests can also mark themselves as checked in or checked out, which will trigger an email notification to you.

What backup options are available if the smart lock malfunctions or loses connectivity?

Backup codes are automatically provisioned in the background, but they’re not shared with guests by default.

If there’s ever an issue, like a lock malfunction or connectivity problem, you can manually request a backup code for that specific reservation and it will automatically show in the guest’s guidebook.

When a backup code is used, it will automatically get rotated at the end of the reservation.

If the backup code also fails, then the guest may need your intervention to access the property.

Does this system integrate with my PMS or Airbnb calendar to automate the code timing?

Yes — smart lock automation requires a PMS integration.

We use the reservation data from your PMS to generate and time the access codes automatically, so everything stays in sync without manual work.

How secure are the access codes? Are they reused or randomized?

Access codes are randomly generated and 4–6 digits long, so they’re unique and secure.

No two codes under the same lock at the same time would ever be identical, keeping your property safe and access tightly controlled.

Can I receive notifications when a guest uses their code for the first time?

Not yet — we don’t currently send notifications when a guest first uses their code.

However, guests can mark themselves as checked in, which will trigger an email notification to you.

Can I connect one lock to multiple properties and/or one property to multiple locks?

Yes to both, it’s very flexible:

  • You can connect one lock to multiple properties/listings – this is common in cases of a shared entry to separate units.

  • Or one property/listing to multiple locks – common when you have a front and back door, for example, that need the same code.

When a property has multiple locks, the system will sync the same access code across all of them, so guests only need to remember one code.
